1. Acceptance of Terms

By accessing or using the PrepDot software platform ("Service"), provided by PrepDot Technologies Ltd. ("Company", "we", "us", or "our"), you agree to be bound by these Terms of Service. If you disagree with any part of the terms, then you do not have permission to access the Service.

2. Description of Service

PrepDot provides digital compliance management software specifically designed for the hospitality industry to assist with Safer Food Better Business (SFBB) record-keeping, staff training management, and general operational logging.

3. Subscriptions & Payments

Some parts of the Service are billed on a subscription basis ("Subscription(s)"). You will be billed in advance on a recurring and periodic basis (such as monthly or annually). Payments are securely processed via our third-party payment provider, Stripe. We reserve the right to modify subscription fees upon reasonable notice.

4. User Accounts & Data Security

When you create an account, you must provide accurate and complete information. You are responsible for safeguarding the password and PIN codes that you and your staff use to access the Service. We utilize enterprise-grade security (including Row Level Security databases) to ensure your venue's data remains isolated and protected.

5. Acceptable Use & Data Accuracy

You agree to use the Service in compliance with all applicable local, regional, and national laws, particularly those concerning food safety and environmental health (e.g., Food Standards Agency regulations).

You expressly agree that you will not:

  • Falsify, fabricate, or fraudulently backdate compliance, temperature, or cleaning logs.
  • Misrepresent the identity of the staff member completing a task.
  • Use the software to obscure, hide, or manipulate records to mislead Environmental Health Officers (EHOs) or external auditors.

PrepDot acts solely as an immutable digital ledger. The veracity, accuracy, and legality of the data entered into the system are entirely the responsibility of the venue operator. If we suspect fraudulent use of the platform, we reserve the right to suspend or terminate your account without notice.

6. Limitation of Liability & Indemnification

While PrepDot provides tools to organize and demonstrate SFBB compliance, the ultimate legal responsibility for food hygiene, public health, and regulatory adherence remains solely with the venue operator. PrepDot is an administrative tool, not a substitute for proper food safety training, physical management supervision, or legal advice.

In no event shall PrepDot Technologies Ltd., its directors, employees, or partners be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation, loss of profits, loss of business, fines levied by local authorities, or legal claims from third parties resulting from:

  • Your failure to pass EHO inspections.
  • Your staff inputting inaccurate, missed, or falsified compliance data.
  • Any public health incidents (e.g., food poisoning outbreaks) occurring at your premises.

You agree to indemnify, defend, and hold harmless PrepDot Technologies Ltd. against any claims, damages, losses, or legal costs arising out of your breach of these Terms, particularly concerning the falsification of regulatory records.
